Who this covers
SusanApp is used only by staff of Lighthouse Family Law LLP (“the firm”), who sign in with their firm Microsoft 365 account. It isn't offered to the public or to other businesses.
What SusanApp reads
- QuickBooks Online: bookkeeping figures from the firm's own company, read-only. SusanApp never writes anything to QuickBooks.
- Clio: information from the firm's own Clio account, also read-only.
- Staff sign-ins: name, firm email address, Microsoft 365 ID and SusanApp role, so the firm knows who used SusanApp.
The firm's books can include the names of clients, suppliers or staff.
How it's used and who sees it
Figures are read when a signed-in staff member opens a page, and are shown only to staff whose SusanApp role allows it, for the firm's own bookkeeping and record keeping. SusanApp doesn't sell this information or offer it to anyone outside the firm.
Where it's kept, and for how long
- SusanApp runs in the firm's own Amazon Web Services (AWS) account, in Canada. The keys that let it read QuickBooks are kept in AWS Secrets Manager.
- Some figures may be saved in the firm's own encrypted records storage (Amazon S3, Canada Central region). When a saved record is changed or removed, earlier versions are kept for 7 years for the firm's record keeping, then deleted automatically.
- SusanApp also keeps a working copy of the firm's Clio invoices and payments there, so lawyers' figures load quickly. It's updated as Clio changes, and its earlier versions are deleted after a week.
- Every request SusanApp makes to QuickBooks or Clio is logged, without the data it returns. The log is kept for one year.
Disconnecting
A partner can disconnect QuickBooks at any time in SusanApp under Settings › Connections, or from the connected apps page in QuickBooks Online. SusanApp then can't read anything more from QuickBooks. Figures already saved are kept as set out above.
